What the role involves: The role requires a high quality, comprehensive administration and organisational support to the assigned Line Manager as required. This will include but not limited to the managing of schedules, co-ordinating communications, presentations and portfolios alongside general queries whilst ensuring the smooth execution of day-to-day tasks. The individual will be required to have the ability to work with a level of initiative and flexibility in order to ensure meetings / events with internal / external stakeholders are seamlessly executed. The need to be a clear communicator and effective organiser, able to multi-task differing projects will be a necessity. Accountabilities: Ensures all aspects of the calendar management and scheduling are accomplished whilst undertaking day-to-day activities and resolving urgent queries and potential conflicts. Co-ordinates travel arrangements, inclusive of itineraries and logistics Prepares and collates necessary reports and produces presentations for internal and external use. Ensures the accuracy of information within any databases overseeing data collection and review on a monthly and quarterly basis. Assists in the preparation of management meetings, events and supplier trainings managing the support logistics such as venue selection, catering, and validation of attendees. Coordinate and oversee projects as given to ensure deadlines are met, tracking any action items to ensure completion. Consults with internal and external stakeholders to facilitate communication and information flow. Interfaces with various departments both at the EMEA and world-wide headquarters as required on behalf of line manager. Implement systems and processes to streamline operational flow and improve time management and efficiency. Handles information within own domain or made aware of with discretion, upholding confidentiality. Additional project or duties as Management may require at times. Do you have: At least five years of proven success in an administrative support role assisting senior directors. Demonstrates initiative capable of independently managing tasks and resolving challenges. Exceptional communication, organizational, and relationship-building abilities. Maintains the highest standards of confidentiality and professionalism. Advanced proficiency in Microsoft Office 365 programs.
