Position Overview:We are seeking a highly organized and proactive Executive Secretary to support our Chief Financial Officer (CFO). The Executive Assistant to the CFO will play a crucial role in managing the day-to-day operations of the CFO’s office. The ideal candidate will be responsible for providing comprehensive administrative and secretarial support to the CFO, ensuring efficient operation of the office. This position requires exceptional organizational skills and strong communication abilities and the ability to handle sensitive information with discretion. Key Responsibilities: Administrative Support: Manage the CFO’s calendar, schedule meetings, and coordinate travel arrangements. Prepare and organize materials for meetings and presentations.Communication: Serve as a point of contact between the CFO and internal/external stakeholders, ensuring effective communication and timely follow-up on action items with professionalism and confidentiality.Meeting Coordination: Organize and prepare materials for meetings, including agendas, minutes, and follow-up actions. Document Management: Prepare, review, and edit reports, presentations, and other documents. Maintain organized files and ensure compliance with company policies.Project Coordination: Assist in the planning and execution of special projects, tracking deadlines and deliverables.Confidentiality: Handle sensitive information with integrity and maintain the highest level of confidentiality regarding corporate matters. Required Qualifications (Skills, Knowledge, and Abilities): Bachelor’s degree with preference in Business Administration, or a related field.5+ years experience as a personal assistant, executive assistant, or similar role.Excellent written and verbal communication skills.Proficient in Microsoft Office (Excel, PowerPoint, Word).Attention to detail and accuracy.Solid written and verbal communication skills.Multitasking and time-management skills, with the ability to prioritize tasks and meet deadlines.Discretion and confidentiality in handling sensitive information.
